Follow The Electoral Commission of Zambia seeks to recruit a qualified and experienced individual to fill two (02) vacant positions of PROCUREMENT ASSISTANTS for a period of twelve (12) months. To assist in the procurement of goods, services and works in accordance with organizational policies and procedures in order to ensure the timely availability of quality and cost-effective supplies required for smooth operations. The Procurement Assistants will report to the Assistant Procurement Officer. Assist in preparing purchase requisitions and obtaining necessary approvals. Request and collect quotations from approved suppliers and prepare comparative bid analyses. Support the evaluation of suppliers based on price, quality, delivery, and service performance. Prepare purchase orders and follow up on deliveries to ensure timely receipt of goods and services. Maintain accurate procurement records, supplier databases, and filing systems. Assist in monitoring inventory levels and coordinate with the stores or logistics unit for replenishment. Ensure that procurement processes comply with internal controls, financial regulations, and procurement guidelines. Support in the preparation of procurement reports and documentation for audits and management review. Liaise with suppliers, service providers, and internal departments to resolve procurement-related queries. Perform any other related duties as may be assigned by the Supervisor or Procurement Officer. Full Grade Twelve (12) Certificate or its equivalent. Chartered Institute of Purchasing and Supplies (CIPS) level IV or Zambia Institute of Purchasing and Supply (ZIPS) IV. Valid Membership of the Zambia Institute of Purchasing and Supply (ZIPS). Good Knowledge of SAP or any other ERP System. One (01) year post qualifying relevant experience in procurement. Experience in a quasi-government institution added advantage. Honest and reliable with moral strength. High degree of attention to detail. Ability to work with minimum supervision. Inter-personal and communication skills. Analytical, organizational and leadership skills. Report writing and general written and oral presentation skills.
