ONLINE STORE (E-COMMERCE) ADMINISTRATOR

ABOUT UMOYO NATURAL HEALTHUmoyo Natural Health is a growing Zambian health and wellness company offering natural health products, nutritional supplements, beverages, skincare, herbal products and other wellness solutions.We are looking for a highly organized, tech-savvy and commercially minded Online Store (E-Commerce) Administrator to take ownership of the day-to-day administration and performance of our online store.THE ROLEThe Online Store (E-Commerce) Administrator will be responsible for managing and maintaining Umoyo Natural Health’s Wix E-Commerce store, while ensuring accurate and efficient processing of online orders through Odoo.The ideal candidate should understand the relationship between e-commerce, inventory, sales orders, payments, fulfilment and reporting, and be comfortable working across both Wix and Odoo.KEY RESPONSIBILITIESE-Commerce & Wix AdministrationManage and maintain the Umoyo online store on the Wix E-Commerce platform.Add, edit and update products, descriptions, images, prices, stock availability and product categories.Ensure all products and online store information are accurate, current and well presented.Create and manage product collections, promotions, discounts and online offers.Monitor the customer shopping journey and identify areas for improvement.Troubleshoot basic Wix store issues and coordinate technical support when required.Monitor website and e-commerce performance and provide regular reports.Order Management & OdooMonitor and process online orders received through the Wix store.Ensure online orders are accurately reflected and processed in Odoo.Create, manage and track sales orders within Odoo.Coordinate with the warehouse, accounts and delivery teams to ensure orders are processed efficiently.Ensure inventory information between the online store and Odoo is accurate and up to date.Monitor order status from placement through fulfilment.Assist with maintaining accurate customer, product and sales information in Odoo.Inventory & Product ManagementRegularly monitor online stock levels and product availability.Update products when items are out of stock, restocked or discontinued.Work closely with the warehouse team to minimize overselling and stock discrepancies.Ensure product pricing and promotional pricing are correctly reflected online.Support inventory reconciliation between the online store and Odoo.Customer & Order SupportRespond to online-store customer enquiries relating to products, orders, payments and delivery.Follow up on pending, failed, cancelled or incomplete orders.Assist customers with online purchasing where necessary.Escalate customer complaints and technical issues appropriately.Maintain professional and timely communication with customers.Payments & E-Commerce OperationsMonitor online payment transactions and flag unsuccessful or pending payments.Assist in reconciling online sales with payment records and Odoo.Identify and report payment, order or system discrepancies.Ensure the online checkout process remains functional and user-friendly.Reporting & PerformancePrepare regular e-commerce reports covering:Online salesNumber of ordersBest-selling productsProduct performanceStock availabilityCancelled and failed ordersCustomer activityAnalyze online store performance and recommend ways to increase sales and improve conversion.Track e-commerce KPIs and contribute to achieving online sales targets.REQUIRED EXPERIENCE & SKILLSProven experience in e-commerce, online store administration or website administration.Strong working knowledge of Wix E-Commerce / Wix Stores.Working knowledge of Odoo, particularly Sales, Inventory and related e-commerce/order-management functions.Good understanding of online order processing and fulfilment.Experience managing product catalogues, pricing, stock and promotions online.Good understanding of online payment systems and e-commerce workflows.Strong computer and internet skills.Good data entry and record-keeping skills.Ability to work with spreadsheets and prepare sales/operational reports.Strong attention to detail and accuracy.Excellent organizational and time-management skills.Good communication and customer-service skills.Ability to identify problems and take initiative in resolving them.Ability to work independently while collaborating effectively with different departments.ADDED ADVANTAGEExperience with any of the following will be an advantage:Wix website management and SEOGoogle Analytics / Google Search ConsoleMeta Business SuiteDigital marketing and online promotionsOnline payment gatewaysCourier and delivery platformsInventory management systemsCRM and customer management toolsBasic HTML/CSS or website troubleshootingIDEAL CANDIDATEThe ideal candidate is not simply a website administrator.
