Job Description

Position: Tender Preparation & Bid Management OfficerLusakaKey Responsibilities* Review and analyze tender documents, RFPs, RFQs, EOIs, and bidding requirements. * Prepare complete tender submissions in accordance with client requirements and deadlines. * Coordinate with technical, sales, finance, and management teams to obtain required documentation. * Prepare compliance matrices and tender checklists. * Manage online tender submissions through e-procurement portals and government procurement systems.* Prepare and organize physical (hard-copy) tender submissions. * Ensure all statutory, legal, and commercial documents are current and compliant. * Track tender opportunities and maintain a tender calendar. * Prepare bid bonds, performance guarantees, and supporting documentation where required. * Maintain a repository of company profiles, technical documents, certifications, and previous bid submissions. * Ensure submissions comply with procurement regulations and tender instructions. * Support contract negotiations and post-award documentation. * Required Experience* Minimum 3–5 years of experience in tender preparation, bid management, or procurement administration. * Proven experience preparing and submitting both online and offline tenders. * Strong understanding of public and private sector procurement procedures. * Experience with government, NGO, donor-funded, and corporate tenders. * Familiarity with tender portals and e-procurement systems. * Experience handling technical, commercial, and compliance documentation. Essential Knowledge* Tender evaluation criteria and compliance requirements.* Procurement regulations and bidding procedures.* Contract administration and bid documentation.Preparation of: * Bid Forms * Technical Proposals* Financial Proposals * Tender Securities/Bid Bonds* Manufacturer Authorization Letters * Power of Attorney Documents * Joint Venture/Consortium Agreements* Compliance Statements Skills Required* Excellent document preparation and attention to detail. * Strong Microsoft Office skills (Word, Excel, PowerPoint). * Ability to work under strict deadlines. * Strong communication and coordination skills. * Good analytical and organizational abilities. * Experience with document management systems and online submission platforms.Preferred Qualifications* Degree or Diploma in Business Administration, Procurement & Supply, Commerce, Law, Engineering, or related field. * Professional certification in Procurement or equivalent How to apply: Interested candidates should submit their applications containing CV and Qualifications as a SINGLE DOCUMENT to h.milanzi@groupmfi.com not later than 20th June, 2026.
