Job Description
Job Summary
As Personal Assistant to the CEO, you will play a vital role in ensuring the efficient operation of the executive office and supporting the broader leadership objectives. This position offers essential support to the CEO in advancing strategic, operational, and governance priorities. Your main responsibility will be to deliver comprehensive administrative assistance, allowing the CEO and leadership team to concentrate on strategic goals without interruption. This includes coordinating departmental workflows, proactively managing daily tasks, and providing prompt follow-up on important issues. You will serve as a trusted liaison, enabling effective communication among internal teams and external stakeholders to maintain high performance standards and exceptional client service.
Key Responsibilities
Deliver proactive, high-level executive support by efficiently managing the CEO’s diary, coordinating meetings, and overseeing daily administrative tasks.
Organize comprehensive travel and meeting logistics, including flights, accommodations, visas, transfers, room reservations, catering, and virtual conferencing arrangements.
Handle procurement and vendor requests, generate purchase orders, and assist with invoice processing while accurately tracking payment statuses.
Prepare, review, and submit expense claims, travel, and event-related requests, ensuring full compliance with internal policies and approval procedures.
Maintain organized records, archives, and documentation, guaranteeing information accuracy, accessibility, and strict confidentiality.
Serve as a professional initial point of contact for clients, colleagues, and stakeholders, addressing inquiries effectively and facilitating productive executive interactions.
Assist the CEO in coordinating strategic and business planning by scheduling meetings, monitoring priorities, and promoting alignment across business units and functions.
Review documents for approval or signature to confirm completeness, accuracy, and readiness, contributing to the reduction of operational and compliance risks.
Ensure compliance with internal processes, governance standards, and regulatory requirements, including anti-money laundering and conduct obligations.

Skills And Experience
Exceptional communication and interpersonal skills, with the ability to build credibility and engage confidently with stakeholders at all levels.
Strong organisational and time management capability, with proven success in managing competing priorities in a fast-paced executive environment.
Excellent attention to detail and a high standard of accuracy, with the discretion to handle sensitive information confidentially and professionally.
Strong digital proficiency, including Microsoft Word and Excel, with the confidence to use technology to improve efficiency and productivity.
Sound office administration knowledge, with the ability to coordinate daily operations and support the smooth delivery of business activities.
A strong customer service mindset, with experience handling queries and complaints with tact, professionalism and responsiveness.
Financial awareness and administrative discipline, with the ability to support procurement, expenses and related record-keeping accurately.
A collaborative, adaptable and proactive approach, with the flexibility to multitask, prioritise effectively and respond to changing business needs.
A solid understanding of banking operations, practices and regulatory requirements, with the ability to work effectively in a controlled environment
Qualifications
Degree in a relevant field such as Business Administration, Management, or a related discipline, complimented by a minimum of three years’ experience working in the banking sector or a similarly regulated environment.
Successful completion of minimum 5 O’level credits including English and Mathematics
Verification of qualifications by the Zambia Qualifications Authority (ZAQA) is mandatory
Continuous professional development and relevant training certifications related to executive support, compliance, or office management are advantageous.
