Description:
Reporting to the Senior Facilities and Administration Coordinator. The incumbent will be responsible for the front office management of CIDRZ office including but not restricted to handling incoming calls, scanning documents and welcoming visitors. She/he will further be tasked with the day-to-day entering of selected requests in Enterprise Resource Planning (ERP).
Main Duties
As the first contact person in the organization, ensures you are well equipped with information on the organization and its activities
Greets visitors in a professional manner and ensure they are discretely screened and subsequently directed to appropriate offices.
Efficiently manages the reception area and ensures it is always kept clean.
Ensures phone calls are answered in a professional, timely and friendly manner as well as taking messages for staff.
Effectively makes appointments for clients
Effectively coordinates bookings for meetings and setting up the conference rooms according to requirements.
Effective management of cash float and timely processing of retirements.
Monitors office supplies and replenishment.
Supervising cleaning services and carrying out inspections.
Coordinates drinking water supply , refuse collection and reconciliation of vendor accounts.
General office management through provision of administrative support, such as entering requestions for payments and procurement.
Provide administrative support and perform other tasks that may be assigned, as necessary.

Requirements:
Grade 12 Certificate
Diploma or Degree in any business or customer relations courses.
At least 2 years’ experience in front desk office work.
Ability to work independently.
Excellent communication, interpersonal and negotiation skills – tact and assertiveness.
Ability to use MS Office packages (Excel, Word, Powerpoint etc.)
